This Privacy Policy explains how ChinaCare Concierge handles information through this website and related inquiry channels.

1. Who We Are
ChinaCare Concierge is the international website and brand entry point operated by 天津康捷陪诊服务有限公司, a company based in Tianjin, China ("we," "us," or "our"). We are responsible for deciding how personal information collected through our website and inquiry channels is used for the purposes described below.
We help international patients and families explore non-clinical concierge and coordination support in China. You can contact us about privacy at hello@ccconc.com or at the contact address in Section 13. Any separate service provider involved later will be identified as relevant to the requested service; this does not remove our responsibility for information we handle.
2. Information We Collect
Through the consultation form or direct communication, we may collect:
- Name
- Email address
- Country or region
- Preferred language
- Inquiry intent
- Preferred service type
- Estimated timeline
- Message content
- Source page, product context, service context, or similar website context
- Your privacy consent confirmation and basic form-submission timing and anti-spam signals
- Communications you send to us after the initial inquiry
The initial inquiry form is designed for basic coordination information only. Please do not submit complete medical records, identity documents, diagnostic reports, imaging files, insurance documents, payment documents, or other highly sensitive materials through the first website form.
Website hosting and email providers may also process technical information, such as IP addresses, browser information, request times, and delivery information, as needed to deliver and protect the website and communications. This policy does not authorize unrelated advertising or tracking.
3. Health-Related and Sensitive Information
Please describe the support you need without including detailed medical information. Even a short description of a diagnosis or health condition can be sensitive personal information; it does not become non-sensitive simply because you volunteer it.
If sensitive information is necessary for a later request, we will first explain what is needed, why, how it will be handled, and the relevant risks, and arrange an appropriate submission process. We will obtain separate consent or other authorization where required by applicable law. A general inquiry is not blanket permission to collect or forward medical records. If unnecessary sensitive material is sent to us, we will limit its use and arrange deletion or an appropriate follow-up process as applicable.
4. How We Use Information
We may use your information to:
- Review and respond to your inquiry
- Understand whether the requested support appears suitable for manual follow-up
- Prepare a practical first response and follow up on the support you requested
- Coordinate with authorized team members and, where the conditions in Section 5 are met, providers needed for your request
- Discuss possible next steps, service scope, pricing, timing, and fulfillment options
- Handle service questions, corrections, feedback, or complaints
- Maintain security, prevent spam, and protect our services
- Keep records required by law and handle specific legal claims or disputes, within the limits of applicable law
Authorized operations staff may receive an inquiry through our public inbox and reply from their individual work email addresses on our behalf. Those communications remain subject to this policy. You can confirm the identity of a staff contact through hello@ccconc.com.
We rely on your consent, processing necessary to take requested steps toward or perform a service contract, legal obligations, or another basis permitted by applicable law, as appropriate to the activity. We will not use an inquiry as permission for unrelated promotional emails; where we seek marketing consent, it will be separate from inquiry handling.
Submitting an inquiry does not create a medical provider relationship, a confirmed service contract, a hospital appointment, a payment obligation, or a guarantee that any service is available.
5. How We Share Information
Access and sharing are limited to information necessary for the relevant purpose:
- Authorized staff handling your inquiry, follow-up, or complaint.
- Website hosting, email, security, and other technical service providers supporting these activities, subject to appropriate instructions and confidentiality obligations.
- Hospitals, interpreters, local concierge companies, travel providers, or other service providers needed for arrangements you request. Where required, we will identify the recipient and explain the purpose and information involved before sharing, and obtain separate consent or other required authorization.
- Professional advisers or competent authorities where necessary and lawful for a specific legal obligation or claim, limited to the information required.
Submitting an inquiry does not authorize distribution to all partners, affiliates, or future platform participants. Sharing with a travel or logistics provider does not by itself justify sending that provider your medical history. We do not sell your personal information or authorize its use for unrelated third-party marketing.
6. Cross-Border Processing
We operate in China and use technical service providers that may process information outside China. Your inquiry may therefore be accessed or processed in China and in other countries or regions where the relevant providers operate, which may differ from where you live.
For cross-border processing, we will provide any required additional information about recipients and processing through a separate notice before the relevant transfer, obtain any legally required consent, and meet applicable safeguards and transfer requirements. Simply visiting the website or submitting an inquiry is not a substitute for any separate consent required by law.
7. Data Retention
We keep personal information for the shortest period necessary for its stated purpose. The period is determined by the status of your inquiry, any requested follow-up or confirmed service, and applicable legal requirements:
- Inquiry and correspondence information is needed while we handle your request and the follow-up you ask for. When that purpose ends and no other lawful retention need applies, we will delete or anonymize it.
- If a confirmed service, legal recordkeeping duty, or specific dispute requires retention, we will retain only the relevant records for the period necessary for that purpose or required by law, not keep the whole inquiry indefinitely for possible future use.
- Sensitive materials needed later will have a purpose-specific retention period explained before collection; they will not automatically be retained for as long as general business correspondence.
You may ask us to explain the retention period applicable to your information. If deletion is legally required but must be deferred because a statutory retention period has not expired or deletion is technically difficult, we will restrict further processing to storage and necessary security measures as required by law.
8. Security
We take reasonable administrative, technical, and organizational measures to protect inquiry information, including limiting access to authorized personnel and using protective measures appropriate to the information involved. Staff handling inquiries on our behalf must use information only for their assigned work and maintain confidentiality.
No website, email system, or online transmission is completely secure. Please avoid sending sensitive medical or identity materials until an appropriate follow-up process has been confirmed. This limitation does not remove our legal responsibility to protect personal information and respond to incidents.
9. Your Choices and Rights
Depending on applicable law, you may request access to or a copy of your information, correction, deletion, restriction of processing, withdrawal of consent, portability, an explanation of processing rules, or complaint handling.
Send your request to hello@ccconc.com and, if possible, identify the email address used for your inquiry. We may ask for proportionate information to verify your identity or authority to act for someone else. We will respond within the period required by applicable law and explain any lawful reason for declining or limiting a request. You may also complain to a competent regulator or seek another remedy available under applicable law.
Withdrawal does not affect the lawfulness of earlier processing based on consent. If information is necessary for support you request, withdrawing consent may prevent that particular support; we will explain the effect. Refusing optional processing or marketing will not prevent unrelated services.
10. Children and Minors
This website is intended for adults making inquiries. If you need support for a child, please contact us before sending the child's personal or health information. Any necessary later collection will require appropriate parent or guardian involvement and the notices and consent required by applicable law, including the special protections for children under 14 under Chinese law. Please do not include a child's sensitive information in the initial form.
11. Third-Party Websites and Services
When you choose to visit an independent third-party website or use its services, its own privacy policy may apply. Please review it before providing information. A third party's separate policy does not remove our obligations when we share information with it or engage it to process information on our behalf.
12. Updates
We may update this policy to reflect changes in our services or legal requirements and will identify the revised date. Material changes will be brought to your attention in an appropriate way before they apply. If a change requires renewed consent or additional notice, we will obtain or provide it before the new processing; posting an update alone does not authorize a new use of your information.

获授权的运营人员可以接收发送至公开邮箱的咨询,并通过其个人工作邮箱代表公司回复。这些沟通同样适用本政策。你可以通过 hello@ccconc.com 核实工作人员身份。
我们根据具体处理活动,以你的同意、应你请求订立或履行服务合同所必需、履行法定义务或适用法律允许的其他依据处理信息。我们不会将咨询视为接收无关推广邮件的许可;如征求营销同意,该同意将与咨询处理分开。

提交咨询不代表授权向所有合作方、关联方或未来平台参与方分发信息。向旅行或物流服务商提供信息,本身并不构成向其发送病史的理由。我们不出售你的个人信息,也不授权将其用于无关的第三方营销。
6. 跨境处理
我们在中国运营,并使用可能在中国境外处理信息的技术服务提供商。因此,你的咨询信息可能在中国以及相关服务提供商运营的其他国家或地区被访问或处理,这些地点可能不同于你的居住地。
对于跨境处理,我们会在相关传输前通过单独告知提供法律要求的接收方及处理信息,取得依法需要的同意,并满足适用的保护和传输要求。仅访问网站或提交咨询,不能替代法律要求的单独同意。
7. 数据保存
我们仅在实现所述目的所必需的最短期间保存个人信息。具体期限根据咨询状态、你所请求的后续跟进或已确认服务,以及适用法律要求确定:
- 在处理请求及你所要求的后续跟进期间,需要保存咨询和沟通信息。相关目的结束且不存在其他合法保存需要时,我们会删除或匿名化处理。
- 如已确认服务、法定记录保存义务或具体争议需要保留信息,我们仅在该目的必要或法律要求的期限内保存相关记录,不会为不确定的未来用途无限期保留全部咨询资料。
- 后续确有必要收集的敏感材料,会在收集前另行说明与其目的相对应的保存期限,不会自动沿用一般业务通信的保存期限。
你可以要求我们说明适用于你信息的保存期限。如依法应删除的信息因法定保存期限未届满或技术上难以删除而暂缓删除,我们会依法将后续处理限制为存储及必要的安全保护措施。
8. 安全措施
我们采取合理的管理、技术和组织措施保护咨询信息,包括将访问限制于获授权人员,并根据所涉信息采取适当保护。代表我们处理咨询的工作人员只能为其所承担的工作使用信息,并须履行保密义务。
任何网站、邮件系统或在线传输都无法保证绝对安全。在适当的后续流程确认前,请避免发送敏感医疗或身份材料。这一限制不免除我们依法保护个人信息及处理安全事件的责任。
9. 你的选择和权利
根据适用法律,你可以请求查阅或复制信息、更正、删除、限制处理、撤回同意、数据转移、解释处理规则或投诉处理。
请将请求发送至 hello@ccconc.com,并尽可能说明原咨询所使用的邮箱。我们可能要求与你的请求相称的信息,以核实身份或代表他人行事的权限。我们会在适用法律要求的期限内回复,并说明依法拒绝或限制请求的理由。你也可以向有权监管机关投诉,或寻求适用法律规定的其他救济。
撤回同意不影响撤回前基于同意进行的合法处理。如某些信息是你所请求支持的必要条件,撤回同意可能使该项支持无法继续,我们会说明具体影响。拒绝可选处理或营销,不影响无关服务。
10. 儿童和未成年人
本网站供成年人提出咨询。如需为儿童寻求支持,请先联系我们,再提供儿童的个人或健康信息。后续确有必要的收集须有适当的父母或监护人参与,并履行适用法律要求的告知和同意程序,包括中国法律对不满14周岁儿童的特别保护。请勿在初次表单中填写儿童敏感信息。
11. 第三方网站和服务
当你选择访问独立第三方网站或使用其服务时,可能适用该方的隐私政策,请在提交信息前阅读。第三方另有隐私政策,不免除我们向其共享信息或委托其处理信息时应承担的义务。
12. 更新
我们可能因服务或法律要求变化更新本政策,并标明修订日期。重大变更将在适用前以适当方式提醒你。如变更需要重新取得同意或补充告知,我们会在新的处理开始前完成;仅发布更新不构成对新用途的授权。
